JOB DESCRIPTION


Job Title: Programmes Assistant

Reports to: Programmes Officer

Location: Lagos, Nigeria with opportunities to travel within the country

Period: Permanent

Salary: Negotiable

Summary of Position:

The Programmes Assistant will be responsible for helping with programme coordination, distribution of materials, event planning, database maintenance, internet searches, office needs and general office and field projects.

Duties:

1. Assist with development of programmes and projects including the WIMBIZ Annual Conference
a. Be involved in the plan and development of programmes, events, and meetings (internal & external) that support WIMBIZ objectives.
b. Perform tasks assigned for conducting research.
c. Conduct research on activities and issues using the internet, library and other information sources.
d. Write and edit articles, materials, press releases, concept notes for publication in newsletters and online bulletins.
e. Assist with publication and distribution of newsletters and online bulletins.
f. Scan materials and collate information for updating the organisation’s websites.
g. Updating the resource library by indexing and filing all publications received, and circulating the publications received.
h. Assist with the coordination and development of donors, partners and contacts list and databases and update the information regularly.
i. Actively participate in all staff operational/programme meeting.

2. Perform administrative duties as assigned by Programmes Officer and Finance/Administrative Officer
a. Manage the office filing system.
b. Attend to visitors and coordinate appointments and schedules.
c. Manage the communication network by answering telephones and sorting.
d. Ensure circulation and file all materials received via post and fax.
e. Preparing letters and other documents e.g. minutes and reports.
f. Download, save electronically, print, ensure circulation and file all materials received via e-mail.
g. Update WIMBIZ Database with respect to mailing list.
h. Maintain register of suppliers and service providers. Book appointments where necessary for sorting office facilities.
i. Work within and support WIMBIZ policies and procedures.
j. Perform any other duties that may be requested.

Job Title: Programme Officer

Reporting to: The Executive Director

Responsible for: Programme Assistants (if any), Interns, Volunteers & Consultants.

Salary: Competitive, negotiable and subject to experience.

Job Purpose

We are looking for an honest, pro-active and highly skilled professional who is able to take initiative on their own and capable of handling sensitive information, whilst establishing and managing relationships with different institutions, communities and persons. This demanding and challenging position carries responsibilities for developing and overseeing on a day to day basis the content and activities of our endeavour to “be a catalyst that elevates the profile and influence of women in management and business”.

The successful candidate will be committed to a transparent working style with a good ethical framework and open communication. She will have experience of working on alone as well as within a team, in a highly pressured and fast paced environment; good writing skills, liaising with multiple partners within the sub-region, managing relationships, partners and statutory institutions. The successful candidate will be prepared to travel from time to time within Nigeria and shall have at least a second (post graduate) degree or professional qualification additional to an honours first (academic) degree in the social sciences, humanities or management.

Duties and Responsibilities

1. Programming:

• Line manage the Programme Team ;
• Working with programme colleagues, prepare and present as necessary all programme documents, including annual work plans, budgets, financial progress reports, etc;
• Produce first class programme and funding proposals for WIMBIZ activities;
• Fundraise for financial resources both local and externally to implement WIMBIZ programme;
• Produce an annual timetable of all activities being planned;
• Organize, coordinate, monitor and manage effectively and efficiently all programs of WIMBIZ;
• Facilitate update of the website on a regular basis, by seeking contributions from partners and proactively seeking new links, information and resources to include on the website;
• Assist in the preparation and design of internal and external WIMBIZ communication materials including the Annual Report, and other organisational materials such as brochures, leaflets, etc;
• Work within and support WIMBIZ’s policies and procedures.

2. Communication and Advocacy

• Develop and implement effective communication and advocacy strategies in promotion of WIMBIZ activities, as guided by Executive Secretary;
• Ensure requisite awareness campaigns for all WIMBIZ activities;
• Liaise and coordinate all necessary public relations with electronic and print media.
• Other duties and tasks, consistent with WIMBIZ’s needs.

Education
Essential Desirable
First Degree in the Social Sciences, Humanities or Management Post graduate degree

Experience:

Essential

Evidence of designing project proposals for successful submission to partners, including narratives, log frames and budgets;
Minimum three years experience of organisational development
Proven experience of managing a team;
Ability to plan strategically, fundraise and manage staff effectively

Summary terms and Conditions

Salary The salary for the post is competitive and negotiable
Leave entitlement 22 working days per year plus Nigerian statutory holidays
Notice period There will be an initial six month probationary period during which notice will be one month on either side. On successful completion of the probationary period notice will be two months on either side.
