Job Title: Accounts/Administrative Officer

Job Location: Lagos

Responsibilities

  • The Accounts/Administrative Officer is responsible for maintaining day to day financial, accounting and administrative services in order to meet requirements and support service operations
  • across the Company to ensure business growth.
  • The Accounts/Admin Officer is responsible for planning and maintaining official routines and the efficient management of the company’s financial and administrative functions.
  • The Accounts/Admin Officer is responsible for the administration and monitoring of the financial system in order to ensure that the company’s finances are maintained in an accurate and timely manner.
  • The Accounts/Admin Officer is responsible for providing excellent customer service while building positive business relationships and working with staff to ensure that any agreements/commitments are delivered within appropriate timeframe.
  • Oversee the accounts payable and accounts receivable systems in order to ensure complete and accurate records of financial transactions in an accurate and timely manner.
  • Liaise with sponsors and other debtors to ensure receipts are received within the company’s payment terms.
  • Provide assistance to the Managing Director in areas such as payroll and annual audit.
  • Maintain and manage petty cash
  • Maintain records of offsite document storage and coordinate lodgement and retrieval of documents as necessary.
  • Ensure the company’s financial management policies are adhered to.
  • Undertake customer service duties including answering and directing phone enquiries, greeting guests, and booking and setting up meeting rooms.
  • Proactively manage the ordering, purchasing and distribution of stationery and office supplies.
  • Coordinate repairs, access for external service providers and liaise with the manager as necessary.
  • Manage proper recording of all financial transactions, preparation of trial balance, cash and bank reconciliations together with monthly analysis, report of expenditures versus budget and cash flow projections.
  • Maintain fixed asset register and inventories.
  • Maintain accounts of advances granted to employees etc.
  • Supervise administrative services within the company
  • Manage the filing, storage and security of documents
  • Manage the repair and maintenance of computer and office equipment
  • Ensure communication and compliance of systems developed in Administrative matters at District Level.
  • Develop and oversee, systems of mail, filing security, transport pool and usage of equipment and supplies.
  • Assist the Managing Director in corresponding with various agencies and persons, by preparing draft letters and arranging for their dispatch.
  • Assist with internal correspondence such as office orders, minutes of meetings, memos etc.
  • Operate office equipment such as computers, fax machines, typewriters, telephone exchange etc., efficiently.
  • Log all incoming mail and be responsible for distribution and follow-up action on instructions received.
  • Perform other duties as assigned by the Chief Executive Officer of the Organization.
