JOB DESCRIPTION

FAO Nigeria seeks the services of information Resources Clerk to provide Information Resources support services to the Representation Office in Abuja. The successful candidate will under general supervision of the FAO Representative, the direct supervision of the National Administrative Officer and the technical guidance of the ITO, OCD, and the incumbent shall be responsible for the management of the Registry and Library, both physical and virtual, and ensure smooth operation of all information and communication technology (ITC) equipment. Specifically:

Registry:

Register and classify electronic and physical incoming and outgoing documents and publication by subject in accordance with the established system, with a view to efficient handling of all documents
Manage a file recording system in accordance with FAO?s format, and transfer old and less utilized electronic and physical files to the archives as per FAO archiving policy
Maintain office and registry files duly updated and make photocopies as necessary
Maintain postage register of all out-going mails and prepare monthly details statement of expenditure
Ensure the regular preparation of pouch and dispatch of documents to any destination.

Information Management

Maintain the FAO virtual and physical reference library
Maintain a record of all publications stored at the FAO representation, by accessing and updating the corporate library catalogue
Receive, maintain and catalogue physical and electronic publications, periodicals, and reference documents
Assist visitors in locating FAO publications and reference materials
Circulate FAO publications relevant Government and other recipients.
Maintain the FAO country Office Internet Homer Page using the organization standards template and tool kit.

Information & Communication Technology

Assist staff in computer and ICT matters, by acting as the first point of contact for computer user, logging request and resolving basic problems and act as Office technology Coordinator (OTC)
Liaise with external technical support companies and individuals, following up on user problems until resolution is achieved.
Assist in the coordination, set-up and use of network services (i.e. file/print services, security, e-mail, backups), following corporate standards
Draft request for purchase of hardware and software, according to corporate guidelines and procedures
Monitor the Representation?s Minimum Security Telecommunications Standard (MISTS) compliance and collaborate with other agencies as required
Be responsible for the proper maintenance of computers, peripherals, software and MISTS equipment and maintain inventory loan systems.
Perform related duties as required



JOB REQUIREMENT

Applications are normally not considered from candidates who do not possess ALL of the Essential Qualifications, Secondary School education, supplemented with training in information and Communication Technology, Three years of progressively responsible experience in Registry and information management and at least one year?s experience in user support for Microsoft Windows Operating Systems and Office software, Working knowledge of English, French or Spanish. knowledge of Library and /or registry cataloguing techniques, Experience with hardware repair and configuration, and software configuration. Familiarity with hypertext mark-up language (HTML) and the principles of internet web design and maintenance. Familiarity with library cataloguing systems. Experience with Windows Server and MS Exchange. Hardware maintenance and procurement and othe related administrative functions. Tact, courtesy and ability to establish and maintain effective working relations with people of different national and cultural backgrounds
