Job Title : Head of Human Resources Department

Reporting To : Assistant General Manager – Corporate Services

Job Purpose: To attract, retain and maintain high caliber employees with the capacity to meet the company’s long and short term objectives. To give every employee the encouragement needed to develop his/her potentials to the optimum while paying special attention to individual employee’s performance and progress.

3. Staff Performance evaluation
4. General welfare provision
5. Staff loans and allowances
6. Maintain Discipline and effective work culture
7. Maintenance of adequate staff records
8. Maintain excellent industrial relations
9. Staff pension and gratuity
10. Advising Management on best mix of policies to attract and retain high caliber members of staff

Specific Work

1. Obtain job specification and requirements from divisional heads in respect of staff recruitment
2. Shortlist appropriate applicants through submitted C.V, Head hunting or vacancy advertisement
3. Invite short listed applicants to fill pre-employment form
4. Invite final shortlisted applicants for written and/or oral interview
5. Coordinate the interview, Write interview report and make recommendation to the MD for approval.
6. Prepare employment letters, set-up all relevant new staff data in the perfect policy software and conduct orientation programme/test for new staff.
7. Contact new staff referees and past employers for character reference where applicable.
8. Send new employees on medical test to confirm suitability of employment

9 Be proactive and administer staff welfare programmes such as pension & gratuity schemes, loans & advances, contribution & donations, annual profit sharing, medical refunds, professional exam reimbursement, end of year gifts, staff awards etc.
10. Ensure that all staff complies with the company’s standard of work, performance, punctuality, attendance, and general conduct. Enforce discipline for rule infractions as contained in the staff manual or as directed by management.
11. Ensure that the company pays a fair and competitive salaries and wages in line with industry standard.
12. Ensure company representation at NIA Human Capital Management Committee meetings
13. On staff disengagement, prepare their final entitlement (if any); recover indebtedness to the company (if any) and advice Finance & Investments Division accordingly.
14. Any other duty as may be assigned by the Divisional Head, Corporate Services.

Key Performance Indicators

1. Staff satisfaction level
2. Staff turnover of less than 10 percent
3. Updated, accuracy, timeliness and reliability of all requisite reports
4 Compliance with the Company’s standard turn around time in service delivery e.g.
• Input for salary preparation are given to Finance & Investments Division on or before 15th of every month
• Staff appraisals are concluded within a month from due date
• Staff application for leave/loan/others are attended to within 24 hours
• Cheque requisitions for remittance staff pensions are forwarded to Finance & Investments Division within 5 days of salary payment.
• Provide staff call cards and identity cards within one week
5. Complaint free relationship with all stakeholders
6. Quality of workforce in the organization.
7. High performance on all business value drivers like Cost Control etc
8. Effectiveness and adequacy of general administration support

The position reports to the Head- Corporate Services Division.
