Description


  • Ipas Nigeria is an international NGO dedicated to improving women's reproductive health and rights.
  • The Ipas Country Office in Nigeria builds the capacity of health systems in the country to expand the quality of woman-centered reproductive health services.
  • The office assistant will work the Office Manager in daily administration.

Responsibilities

  • Receive, send, register and distribute mails.
  • Receive and register daily newspaper supply and archive them as appropriate.
  • Disseminate essential information to staff.
  • Ensure proper filling of documents for the Office Manager and other staff as necessary.
  • Execute minor office maintenance projects as assigned by the office manager.
  • Printing and photocopying of documents for trainings and creating materials for public presentations as instructed.
  • Perform other secretarial and administrative support functions for managers, supervisors and staff.
  • Schedule assigned appointments, meetings and conferences; coordinates arrangements and sets up meeting rooms; notifies meeting participants; prepares and/or assembles meeting materials from rough notes, drafts, dictation or oral instructions
  • Assist with handling travel logistics for technical unit staff and with carrying out administrative tasks such as ensuring vendors deliver goods on time, ascertaining that goods requested for were delivered and other related tasks.
  • Perform other tasks as may be required.

Qualifications and Skills

  • Must be a degree holder from a higher institution.
  • 1 year experience.
  • Must be able to work independently.
  • Must possess strong writing and verbal communications skills.
  • Must possess strong interpersonal skills.
  • Must possess strong computer skills.
