Job Title: Executive Assistant to DMD (For an FMCG,Food Industry)

Educational/ Professional Qualifications (in order of preference)
Minimum of HND, Preference in Accounting, Finance and Business Administration
Minimum of 3 years of working experience in an office environment

Key Responsibilities/Duties


Develop & communicate a matrix for managing the Chief Executive’s time & ensure his calendar & schedule is always aligned with this matrix.
Prepare the Chief Executive for his meetings & monitor his action points/commitments for upcoming deadlines by following through on/communicating the necessary details.
Schedule & determine the nature/time of internal/external appointments; providing all necessary background materials and making travel plans where necessary
Creating, managing, organizing & updating mailing lists for the office of the Chief Executive on MS Outlook
Managing & updating the Chief Executive’s Portal on the intranet (when created), ensuring that information made available on the portal is constantly updated, well organized for easy access/retrieval & support effective knowledge management, amongst others
Planning, coordinating & managing all activities to do with company wide meetings, management meetings and retreats on behalf of the Chief Executive.
Provide appropriate answers to enquiries from external parties/direct as appropriate
Provide Business Analysis functions for Chief Executive in areas of Chief Executive’s roles and functions
Assist in conducting research work as assigned by the Chief Executive
Manage, update & maintain a confidential document management/filing system for the Chief Executive’s office
Assist with the tracking and monitoring of the budget for the Chief Executive’s Office.
