National Democratic Institute (NDl) is a non profit, non partisan organization working to support and strengthen democratic Institutions worldwide through citizen participation openness and accountability, NDl seeks to fill the following Position in the Abuja field Office:

SHORT-TERM ACCOUNTS ASSISTANT (3 MONTHS)

The Accounts Assistant will work under the direct supervision of the accounting team and will be responsible for bookkeeping using computerized accounting software and for reconciliation of advances in line with NDI policies, donors' regulations and GAAP.

Primary Responsibilities

• Maintains and updates records of financial transactions on the accounting software,
• Posts payments and refunds received to appropriate journals:
• Prepares journal entries for approval by supervisor;
• Releases cash tor approved budgets and requests;
• Completes forms and logs for fuel usage reconciliation;
• Ensures that approved cash levels are maintained;
• Ensures that vouchers and documentation are in line with NDl internal controls and financial policies.
• Perform other assigned duties.

Experience, Skills & Abilities
• Bachelor's Degree in Accounting/Accountancy
• Minimum two (2) years of work experience in an accounting or auditing firm
• Previous experience with international nonprofit organization preferred.
• High level of attention to details in all aspects of work responsibilities and excellent organizational skills.
• Strong orientation to numbers and figures
• Ability to constructively receive work direction.
• Ability to read, analyze, and understand governmental and organizational rules and regulations.
• Capability to develop and implement effective strategies and tactics for accomplishing assigned duties.
• Experience with accounting software and working knowledge of database, word processing, and Excel spreadsheet applications.
• Working knowledge of OMB Circulars A-110, A-122, A-133, GAAP, Procurement policy and Ethical conducts are preferred.
• Membership in any accountancy professional body

LOGISTICS ASSISTANT

The Logistics Assistant will work under the direction of the Operations Manager to provide logistical support to NDI programs and assist with a range of procurements, coordination of vehicle movements , facility maintenance, and other assigned duties.

Primary responsibilities
• Responsible for the proper upkeep, maintenance and/or replacement of office premises, office furniture, and equipment to ensure that they are in appropriate and good working condition for all staff.
• Arrange airport pickups, hotel lodgings, and other matters relating to receiving staff and visitors.
• Assist in giving logistical support for meetings and training courses.
• Arrange for insurance of travel request and authorization to staff and government counterparts, provide tickets and maintain records
• Supervise the work of staff drivers and security guards.
• Maintain accurate control of the inventory of non-expendable property, including periodic physical verification.
• Assist in reviewing, routing, and obtaining executive approval for lease, procurement actions and other items required
• Backstop staff during office set-up and closure, election missions, and other events by providing equipment, documents, and other support to staff in the field.

Required Experience, Skills & Abilities
• Candidate must possess a bachelor's degree in any course under management or social sciences.
• A minimum of two (2) years progressive experience in office administration.
• Excellent knowledge of English, computer literacy with knowledge of word processing, spreadsheet, and presentation software required.
• Good drafting and communication skills.
• Good time management and strong interpersonal supervisory skills.
• In-depth knowledge of administration rules and regulations.
• Good conceptual ability and analytical skills.
• Ability to work effectively and harmoniously in an international, multi-cultural environment.
