Working closely with the comapny, staff and colleagesat the direction of the Department Administrator, the Events/PR Manager plans, produces and publicizes approximately 80 large and small events per year, and manages donor correspondence and the department’s online presence. Evening and weekend hours are required during busy periods.
The Events/ PR Manager is, in many circumstances, the public face of the Department. Crucial qualities include the ability to remain calm, pleasant and professional in hectic circumstances, to effectively balance competing needs, and to serve as a welcoming liaison with Department guests.
Primary Responsibilities:
Event Management (50%)
• Plans, organizes and implements approximately 80 events of varying size and scope annually, in collaboration with lead company and staffs. Events include working series and special works, job talks, colloquia, symposia, film screenings, gallery receptions and more.
• Develops and implements event budgets, tracks expenditures, and coordinates payments with financial staff
• Manages the production and distribution of event publicity materials, both print (posters, flyers, newspaper ads) and web-based media (online calendars and postings). Analyzes marketing effectiveness and recommends adjustments as needed
• Supervises the activities of third party vendors including caterers, freelance designers, mailing houses, etc., insuring high quality and on-time results
• Oversees the department events calendar to avoid conflicts
Public Relations and Communications (30%)
• Manages all aspects of internal and external communications materials (creating, overseeing production, editing/proofing, disseminating) including event announcements, press releases, annual department newsletter
• Handles media relations and serves as primary contact for media and press inquiries
• Pitches department-related stories and develops news content for on- and off-campus media
• Maintains department mailing lists for media, alumni, and event announcement registrants
• Represents the department in company works and communications committee meetings
Donor Relations (10%)
• Drafts donor acknowledgement letters and stewardship reports for the Department Chair
• Produces annual stewardship reports and coordinates staff's fellowship donor letters with the Office of Development
• Addresses all donor-related inquiries and serves as liaison between the Department and the Office of Development
• Maintains all donor records and development files
New Media (10%)
• Oversees content of the Department’s website to ensure consistency in language, tone and look
• Manages sections of the website relevant to the position, including those listing events, news, and department overview pages
• Serves as a member of the staff website committee, and as a primary resource to company wishing to utilize website functionality
• Develops new opportunities to increase the Department’s online presence, including social media, podcasts and videos
Qualifications:
• 1-4 of professional experience in events management and public/donor relations required. Experience working in the visual or performing arts and/or non-profit sectors is highly desired.
• Proven success in planning and executing large, multi-day events; knowledge of and experience with all levels of planning and execution
• Experience conceptualizing and coordinating public relations campaigns, including media relations, online outreach and direct mail efforts
• Budget-consciousness; ability to investigate creative solutions on a tight budget and carefully track spending
• Ability to work as part of a close-knit team that values collaboration and cooperation, coupled with ability to work independently and take initiative as appropriate
• Detail-oriented, with strong project management skills and exceptional organizational abilities. Must be able to effectively manage multiple projects (both short- and long-term) and meet tight, often competing deadlines
• Judgment and decision-making skills and ability to problem-solve and develop contingency plans as needed
• Excellent interpersonal and verbal communication skills and the ability to deal with a variety of personalities with tact and diplomacy; customer service experience is a plus
• Thorough command of the English language and grammar rules and excellent writing and proofreading skills
• Experience managing volunteers
• Ability to be largely self-sufficient in managing and/or overseeing administrative needs, including but not limited to copying and/or distribution of marketing materials (e.g., posters, flyers, and brochures), tracking expenses, filing, and other administrative duties as needed
• Energy, ability, and willingness to work evening and weekend hours as needed
• Excellent computer skills are required. Candidates should be proficient with Microsoft Office (Word, Excel, and PowerPoint), email programs, and Internet browsers. Working knowledge of Drupal and Adobe Photoshop or similar is highly desired
