Accounts Officer
Job Objectives
· To manage customers’ accounts ensuring accuracy and completeness.
Principal Duties and Responsibilities:
· Maintain an accurate and up-to-date record of all sales/service orders issued to customers.
· Carry out billing, collection and reporting activities according to specific deadlines and in line with established procedures and policies.
· Prepare customer balance ageing summary schedule and follow up with relevant staff in Sales/Marketing/Business Development on due sales/service orders to ensure payment are received.
· Reconcile customer accounts to the general ledger balances.
· Investigate and resolve customer queries as regards receivable invoices.
· Identify irregularities in the customer account reconciliation and work with the relevant Sales/Marketing/Business Development staff to resolve these issues.
· Post necessary entries to correct errors/irregularities identified in customer account reconciliation.
· Maintain accounts receivable customer filing system to ensure easy retrieval of information.
· Review the commercial agreement entered in the database for each customer to ensure it complies with the written agreement.
· Proactively and efficiently execute work plans as approved by the SBU Accountant.
· Prepare/compile agreed periodic activity and performance reports for the attention of SBU Accountant and other relevant parties.
· Perform any other duties as assigned by the SBU Accountant, Financial Accountant and Chief Financial Officer.
Competency and Skills Requirements:
· Good knowledge of:
ü Generally Accepted Accounting Principles (GAAP).
· knowledge of accounting software applications will be an added advantage, e.g. TALLY, etc
· Excellent data gathering and analysis skills coupled with excellent attention to details
· Oral & Written Communication skills
ü Ability to transmit information effectively i.e. in clear, unambiguous terms to employees, management and other stakeholders to facilitate at all times the achievement of the goals and objectives of the organisation
ü Ability to understand technical information and relay it in a manner that is clearly understood by others.
ü Ability to write reports in clear terms using a mixture of words, charts, graphs, etc
· Relationship Management
ü Possession of human skill (Ability to interact effectively with people)
ü Ability to develop, build and maintain relationships with customers.
· Sound ethics and integrity.
ü Must be discernibly honest and of consistent upright character
ü Must be ethical i.e. must follow the ideals and responsibilities of the industry as set out in the code of ethics guiding operations and operators in the industry.
· Proficiency in the use of office productivity tools, particularly usage of spreadsheet.
Minimum Qualifications:
· An OND in Accounting.
