An Administrative Assistant wanted in an International Organization in Lagos, Nigeria. The main tasks will include but are not limited to the following:
- Maintain a friendly, tidy and professional front office for the organization at all times
- Manage the CEO's appointment and meeting schedules
- Assist the CEO in balancing both internal and external priorities
- Receive and keep visitor's log and inbound telephone calls
- Receive, distribute and oversee all incoming and outbound communication including transferring calls to relevant staff and maintain records of telephone calls
- Manage incoming & outgoing mails, including courier service.
- Perform general clerical duties to include but not limited to: photocopying, faxing, mailing and filing.
- Ensure confidentiality of all documents passing through the CEO's office
- Register, report & follow up on routine IT problems
- Basic filing & Management of the office library
- Assist the Operations Manager in ensuring the smooth running of the office facilities
- Provide logistical support in booking both staff & consultant travel & accommodation
- Assist the Operations Manager in the coordination of office vehicles & drivers' duties
- maintain the booking sheet for the pool car and the driver's overtime sheets
- Act as Administrative & Secretarial support to staff on various projects
- Other duties as may be assigned
Experience/ Qualifications:
- Must be resident in Lagos
- Must have excellent verbal & written communication skills
- Must possess a B.Sc or its equivalent in English, Secretarial Studies or any related course in Humanities/ Social sciences
- Excellent computer skills- Proficient in the use of Microsoft Office suite and the Internet
- Minimum of 4years experience in an Office Setting
- Experience in Marketing is an advantage
