As a personal assistant (PA), you will help the firms Principal Consultant with whatever he needs to reduce his workload and help manage his time and schedules better. This will include managing his diary, time-sheets, emails, travel booking, presentation preparations and itinerary. You will also type up reports, mine data online, monitor and prompt (bug) him to complete important scheduled tasks like blogging, social media updates, planning meetings, minutes and more.
You will need to manage both personal and business commitments to ensure that time is managed effectively and important and urgent tasks always take priority. You must be an excellent project manager a self-starter that needs absolutely no prompting to do tasks. You must very technology savvy and be a quick learner.
o Organising contacts list and relationships with strategic partners
o Managing Linked-In, Blog posts, Twitter and other social media platforms based on scheduled tasks and message management.
o Scan daily newspapers for information that should be of interest to the firm or for information specific to projects being managed by the firm.
o Organising diaries, meetings and time schedules
o Fielding calls and responding to business emails where required
o Assist in managing office tasks and responsibilities when required
o Organising travel arrangements
o Writing & review of reports and presentations
o Typing up minutes of meetings
o Keeping track of regularly scheduled commitments
o Update the online timesheets for yourself and your Boss on a daily basis
o Monitor progress of all outstanding tasks of consultants in the office and give your Boss a daily update on progress
o Researching Projects
o Managing Budget and participating in annual budget review
o Participate in staff evaluation, supervision and development
o Any other task that will aid your Boss carry out his duty effectively
