EXECUTIVE ASSISTANT
Responsibilities
· Providing high level professional administrative support to teams comprising management and non-management personnel i.e. developing reports, handling correspondence, updating manuals, and maintaining logs, managing appointments and calendars
· Make arrangements for meetings, conferences, and trips and assemble necessary material/logistics for such trips and meetings
· Managing expense reporting and procurement card reconciliation
· Trains and provides effective coaching, feedback and motivation to entry level staff in the department.
· Manages various calendar activities and travel itineraries, communicating with all parties involved.
· Prepares correspondence, memoranda, screens telephone calls and visitors, distributes minutes of meetings and reports.
· Coordinates with other administrative staff regarding general business/office activities to ensure proper staff planning and scheduling to avoid disruption in customer service.
· Clearly communicates and actively seeks ideas/suggestions for department improvement of processes.
· Works with other departments and vendors to ensure tasks are completed efficiently and within established time frames.
· Ensure that required equipment and materials are available, appropriately located, and working to properly to ensure efficiency of group.
Ensure that work is completed in a timely manner to ensure compliance with regulatory requirements and requests.
Minimum Qualifications
· First degree or its equivalent in any administrative discipline· Minimum of three (3) years experience in an administrative capacity for top management personnel in a reputable organisation will be an added advantage.
· Extensive knowledge of modern office practices, procedures, and equipment
· Knowledge and usage of correct grammar and spelling
· Ability to communicate effectively, both verbally and in writing, in person and by telephone
· Ability to correctly analyze a situation and take appropriate action
· Ability to work independently on multiple administrative tasks
· Experience composing correspondence, keeping records, and preparing reports
Ability to operate a personal computer and use Microsoft Office software and Internet Explorer
