    VACANCY FOR A GENERAL MANAGER (OPERATIONS) @ LX GLOBAL LTD.

    JOB TITLE: General Manager-Operations

    COMPANY PROFILE

    Indigenous Logistics & Supply Chain Management Company with offices in Lagos and Port Harcourt requires the services of an experienced General Manager (Operations). The required individual will manage the effective operations and delivery of new and existing services required for the provision of logistics and supply chain management services to our clients. The sectors of operations include Oil & Gas, Energy, Telecommunications, Aviation, Manufacturing and Engineering/Construction Companies in Nigeria.

    This position will report to the MD/CEO. The GM Operations is the lead to deliver LXGlobal’s proposition for providing increased value to its Customers by enhancing their Supply Chain, thus making it easier for them to do business in whichever sector they operate. This job position will result in significant performance improvements in our operations and efficiency in our service delivery and should ultimately enhance our revenue and market share translating into increased profitability.


    Direct Reports: Operations & service Delivery Team

    Reports To: MD/Chief Executive Officer

    The GM Operations will provide overall effectiveness, proper co-ordination, strategic leadership and ultimately, customer satisfaction in the following departments;

    - Clearing Operations
    - Transport Operations
    - Warehouse Operations
    - Service Delivery
    - Documentation & Archiving

    DUTIES & RESPONSIBILITIES:

    1) People Management:

    - Responsible for the coordination, implementation and overall compliance with the company’s HR policies, rules and regulations.
    - Responsible for the final identification, selection and recruitment and of staff within the Division
    - Responsible for the design, supervision and implementation of the job scope, job description, evaluation and performance assessment activities for staff in the Division
    - Responsible and accountable for the performance, attitude and conduct of the staff in the Division
    - Responsible for the management and coordination of resources, information and communication within the Division as well as between the Division and third parties
    - Responsible for the management and development of staff in the Division
    - Responsible for team building, staff motivation, counseling and training to attain and maintain a high level of productivity in order to achieve maximum performance results
    - Responsible for the provision of a safe and conducive environment, sufficient working tools and appropriate welfare for staff in the Division

    2. Operations Management:

    Clearing Operations:

    - Responsible for the strategic planning and coordination of activities in the Sea Freight & air Freight Clearing Unit
    - Responsibility for swiftness and quality of service delivered
    - Responsible for the design and quality of processes, procedures, information, documentation and communication flows
    - Responsible for quality of management reports (i.e. accuracy, promptness and presentation)

    Service Delivery:

    - Responsible for the strategic planning and coordination of activities in the Service Delivery/Customer Service Unit
    - Responsibility for quality of service delivered and response to customer issues
    - Responsible for the design and quality of processes, procedures, information, documentation and communication flows
    - Responsible for quality of management reports (i.e. accuracy, promptness and presentation)

    Warehouse & Transport Operations:

    - Responsible for the strategic planning and coordination of activities in the Warehouse & Transport Department
    - Responsible for the requisitions, negotiations and possible acquisitions of warehouses and or warehousing facilities and contracts.
    - Responsible for the requisitions, negotiations and possible acquisitions of trucks and or transportation facilities and contracts.
    - Responsible for the design and supervision of the processes and procedures, management metrics, performance output and development
    - Responsibility for swiftness and quality of service delivered
    - Responsibility for the design and quality of processes, procedures, information, documentation and communication flows
    - Responsible for quality of managements reports (i.e, accuracy, promptness and presentation)

    Documentation & Archiving

    - Responsible for the strategic planning and coordination of activities in the Shipment Documentation Department
    - Responsible for the design and quality of processes, procedures, information, Form M& RAR documentation and communication flows
    - Responsibility for swiftness and quality of service delivered
    - Responsible for quality of management reports (i.e. accuracy, promptness and presentation)
    - Responsible for the strategic planning and coordination of activities relating to the perfection of customs / shipping documentation
    - Responsibility for swiftness and quality of processing within pre-defined time frames.

    General:

    - Responsible for the recording and profiling of all incidents affecting performance and communicating them to Management
    - Adviser to Management on all matters affecting the Operations & Service Delivery Division.

    3. Marketing/Relationship Management:

    - Responsible for the quality of the relationships and interface between the company and its service providers (encompassing logistics / inspection agents, transporters, airlines, security, shipping companies, etc)
    - Setting criteria for contracts selection and negotiation.
    - Negotiation of terms and rates as may be mutually favorable
    - Determination and criteria of quality of service
    - Responsible for the quality of relationship between the company and government bodies (FAAN, Customs, SON, Inspection Agencies, Shipping Lines, Terminal Operators, NAFDAC, NPA, SAHCOL, NAHCO, Nigerian Police Force, LGAs, etc)
    - Ensure compliance with statutory policies and regulations
    - Networking and relationship development
    - Responsible for the quality of relationship between the company and its customers
    - Ensure swiftness and regularity of exceptional service delivered
    - Ensure smooth and professional communication, documentation and information flow
    - Ensure prompt and appropriate response to customer enquiries, reasonable requirements and complaints
    - Ensure prompt achievement of delivery commitments and regular intervention

    4. Financial Responsibility:

    - Ensure that efficiency levels are maintained to achieve minimum time for invoicing to customers
    - Ensure that all documentation is received and processed for invoicing to customers
    - Ensure that invoices received from suppliers/service providers are received, checked and promptly forwarded for payment processing
    - Ensure compliance with budgetary allocation
    - Ensure that expenditure decisions comply with the company’s financial policies and procedures
    - Ensure that incidents involving payments to suppliers/service providers are quickly communicated to concerned Units for intervention and resolution

    5. Quality Assurance:

    - Responsibility for ensuring accurate operational costs
    - Responsibility for negotiating preferential payment terms with service providers while ensuring exception quality service.
    - Responsibility for ensuring committed delivery time are achieved
    - Responsibility for ensuring insurance claims and cargo damages and discrepancies are kept to a minimum. In the event of such incidents, accurate records are kept and communicated for claims processing within pre-defined time frames.
    - Responsibility for monthly and quarterly report accuracy
    - Responsibility for proper risk management
    - Responsibility for negotiating preferential service level agreements (SLA’s) with statutory and third parties.
    - Responsibility for ensuring discrepant Risk Assessment Reports (RAR’s) are corrected and re-issued in a timely manner.
    - Responsibility for ensuring minimal cargo and delivery delays as a result of issued customs demand notifications for HS code discrepancies. In instances where discrepancies are unavoidable, ensuring that these discrepancies are effectively communicated to the respective HOD’s for appropriate and corrective action. All such incidents must be accurately recorded and monitored.
    - Responsibility for ensuring office and warehouse tools and equipment are well maintained and serviced
    - Responsibility for ensuring that all daily, weekly and monthly meetings are honored and minutes recorded and filed

    Required Experience & Qualifications:

    - Nigerian or Expat
    - Male or Female
    - The Person must be aged b/w 35-50
    - Good command of English Language (French an added advantage)
    - B.A/B.Sc/H.N.D in Business or Logistics related discipline (MBA will be an advantage)
    - At least 8-10 years post qualification experience in corporate environment with at least 5 years in a logistics and supply chain industry
    - Must be matured, have a positive attitude to work and be self-motivated
    - Must be able to work under pressure and with very little supervision
    - Must be Commercially aware and familiar with asset management, cost control and profit and loss accounts and ability to manage the admin functions of business units
    - Proactive ability to challenge existing practices and drive through change to benefit the business.

    - Computer skills (with proficiency in MS-Word, Excel, PowerPoint, Visio, Projects)
