Job Description of Personal Assistant
Responsibility :
- Devising and maintaining office systems, including data management and filing;
- Arranging travel, visas and accommodation;
- Where required traveling with the manager to take notes or dictation at meetings or to provide general assistance during presentations;
- Screening phone calls, enquiries and requests, and handling them when appropriate;
- Meeting and greeting visitors at all levels of seniority;
- Organizing and maintaining diaries and making appointments;
- Dealing with incoming email, faxes and post, often corresponding on behalf of the manager;
- Taking dictation and minutes;
- Producing documents, briefing papers, reports and presentations;
- Organizing and attending meetings and ensuring the manager is well prepared for meetings;
- Liaising with clients, suppliers and other staff;
- Carrying out specific projects and research;
- Deputizing for the manager, making decisions and delegating work to others in the manager's absence.
Qualifications, Skills & Competencies :
- Must have worked in such or similar position.
- Min 3 years post qualification experience.
- Age Bracket 23 - 35.
- Sex – Male or Female are invited to apply
- Good Time Manager, Hardworking and eye for detail.
- Dresses professionally with impeccable manners.
- Confident, Firm and Discreet.
- Flexible and can travel at short notice
- Excellent written and spoken English.
- Administrative and analytic skills.
- Willingness and aptitude to learn the use of new IT systems and software.
- Negotiation and persuasive skills.
