    To assist in the day to day administration and general matters pertaining to the organisation/ company, Responsible for
    managing of reports, routine
    letters, Board papers, minutes, forms, etc, Upkeep of office systems and other general office duties. You are also likely to be getting involved with telephone answering dependin on the org. you will be organising

    . ADMINISTRATIVE OFFICER
    He will work under direct control of the Managing Director. He shall
    have over all control of all the staff of the Federation.
    HIS DUTIES AND RESPONSIBILITES WILL BE AS FOLLOWS:-
    1) To arrange for writing minutes of the Chairman’s meeting and take
    follow-up action on the proceedings of the Committee of Management.
    2) To ensure keeping up to date by-laws, regulations, rules of the
    Federation.
    3) Review the working of the staff working under his control and put up
    report to the Managing Director periodically.
    4) Ensure proper distribution of inward tapals and post dispatched of
    onward tapals.
    5) Ensure proper maintenance of personal files, service registers, etc., of
    all the staff.
    6) Ensure prompt maintenance of society vehicles and keep up of the
    office building.
    7) Arrange for purchase of stationeries, printing of books and forms as per
    the requirements and ensure keeping up of adequate stock of
    stationery books and forms etc.
    Ensure prompt remittance of all rates and taxes of vehicles etc.
    9) Arrange for insurance for all properties, vehicles, furniture, cash
    against fire, burglary and for finally renewal.
    10) For ensuring safety and security of Office records and properties etc
    11) For carrying out the instructions/ orders of the Managing Director.
    12) For supervision and controlling work of all the staff under his control.
    13) All the vouchers should be countersigned by him
    14) He should also attend such other duties as and when assigned to him.
    15) He should have over all control in the absence of the Managing
    Director.
    16) He should maintain official secrecy as ordered by the Managing
    Director then and there.
    17) He/ She is in-charge of all vehicles maintenance and also shall verify
    the log book.

    DEFINITION OF WORK
    Summary
    This is administrative work assisting a high level executive/administrator in planning, organizing, and implementing a program or function with agency-wide or statewide impact. Work involves freeing the superior to focus on critical demands by performing a variety of administrative support functions under minimal direction. An employee in this class is responsible for liaison and public relations assignments which include contact with the public, officials and top-level management. Incumbents may supervise an administrative support staff or serve as team leader on special projects. The work requires the operation of personal computers, specialized data entry equipment and office equipment.
    EXAMPLES OF WORK PERFORMED:
    Coordinates daily activities for a unit. Determines which information requires immediate attention of the executive, and delegates or refers other matters to various staff and departments. Attends meetings in the executive's absence.
    Coordinates office services, such as personnel, budget, and records management control.
    Supervises, recruits and trains specialized and administrative support personnel; and assigns, reviews and evaluates their work.
    Performs office management duties; oversees the maintainence of personnel and fiscal records. Manages grant proposals and submissions. Prepares financial reports, reviews purchases, vouchers and other financial documents.
    Responsible for the procurement of supplies; maintenance of inventory records; including supervision of staff performing these functions.
    Interprets statutes, regulations, policies and procedures and communicates the interpretation to the general public and high level officials, such as judges, attorneys and law enforcement personnel.
    Reviews and recommends technological and procedural changes to ensure compliance with policy and improve work processes.
    Advises other department heads and executes administrative policies at the direction of the executive.
    Represents the agency by planning, coordinating and/or participating in meetings, seminars, workshops, conferences, and in-service training sessions or related activities in the agency executive's absence.
    Completes technical tasks in human resource area(s) such as EEO, new employee orientation, position management, recruitment, and/or benefits.
    Enters and manipulates data and information in word processing, spreadsheet, and database applications by creating word processing templates and form letters, macros and functions, or tables. May maintain web pages.
    Serves as a lead worker on special projects.
    Prepares correspondence for executive review and signature.

    It depend on the organization. in organization there are different Job Description for an admin office. ETC An admin officer is the most senior employee within a company. He/She reports directly to the chief executive officer. He/She is responsible for the overall strategy, planning, coordination and management of business affairs of an organization. Typically, the firm's support functions, such as human resources, legal and compliance, report to Him/her.
    Basically,An admin officer provides recommendations to the chief executive officer and board of directors regarding companywide goals, objectives and policies. He develops and maintains a positive working relationship with various department heads as required to work through project development and management problem-solving. He develops, implements and maintains all corporate policies and procedures. He works closely with legal counsel. He manages all internal communication.
